Inspection types — and when each one matters

  • Pre-Production Inspection — before materials are cut or molded. Verifies incoming materials, specs, labels and that the factory understands your approved sample. Use it with new suppliers or high material-substitution risk.
  • DUPRO (During Production) — at 20–40% completion. Spot-checks assembly and in-line quality so you can course-correct before the whole batch is built. Best for orders over ~3,000 units or first runs.
  • Pre-Shipment Inspection (PSI) — at 100% produced, 80% packed. AQL-based random sampling of appearance, workmanship, function, labeling, barcode and packaging. The decisive gate — 60–70% of all QC mandates, and non-negotiable for Amazon FBA.
  • Container Loading Check (CLC) — during stuffing. Verifies carton counts and condition, loading order, container cleanliness, and witnesses the seal. Essential for fragile or mixed-cargo loads.
  • Factory / social audit — at onboarding or annual re-evaluation. Technical (ISO 9001, equipment, process) or social compliance (BSCI, SMETA 4-Pillar, SA8000).

AQL sampling, explained practically

AQL (Acceptable Quality Limit, ISO 2859-1) sets the maximum defect rate that still counts as acceptable. General Inspection Level II is the default for ~95% of consumer goods. A worked example:

  • Lot = 3,200 pcs → Level II → sample size code “L” → inspect 200 pcs.
  • Limits: Critical 0, Major 2.5, Minor 4.0.
  • At AQL 2.5 for 200 pcs: Accept = 10, Reject = 11 — up to 10 major defects passes; 11 fails. At AQL 4.0: Accept = 14, Reject = 15.

Specify in every booking: inspection level, AQL per defect class, any functional tests (pull, drop, hipot) with pass/fail criteria, and the approved sample reference. Remember a “passed” PSI means the defect rate is statistically below your AQL — not zero defects. If your market demands flawless goods, use 100% inspection ($0.15–$0.50/unit for simple items) or tighten Major to 0.65.

Remote vs on-site QC

Remote video inspection (gimbal phone, clip-on macro lens, live checklist overlay) can catch gross appearance defects, logo/label and barcode errors, caliper dimensions, and carton arrangement. It cannot reliably catch texture, off-gassing odor, color metamerism, weight, hairline fractures, internal component quality, or factory staging where good samples are pre-selected off-camera. Use remote QC for follow-ups, DUPRO on a trusted factory, or catching big errors — but for a first order or a critical run, an independent on-site inspector remains the standard.

Cost ranges & why a nimble local partner wins

Provider typePer man-day (USD, 2026)Notes
Global giants (SGS, BV, Intertek, TÜV)$480–$700Min. 1-day billing, 48h reports, 2–3 days’ lead
Large China brands (QIMA, AQF)$420–$600Online booking, higher overhead
Nimble local partner$280–$45012–24h report, next-morning deployment in cluster cities
Freelancers (Upwork etc.)$180–$250Often untrained on AQL; high risk for critical orders

A local partner beats the giants on speed (a 6 PM booking for 9 AM next day), cluster expertise (a Dongguan inspector knows the 50-yuan tell for a fake IC), and flexibility (combine partial DUPRO + CLC on one trip). The big firms’ edge is brand recognition for your downstream customers and in-house labs — but on price, response time and product-specific knowledge, a well-vetted independent partner usually wins.

What an independent QC partner uniquely delivers

Versus flying in yourself: boots already on the ground in 4–5 manufacturing cities, correct ISO 2859-1 application, and the language to read the Chinese production card and push back. A 3-day China trip easily exceeds $3,000; a local PSI + DUPRO costs $400–$800. Versus the big firms: next-morning response, a single named contact who watches your order evolve, niche product expertise, and the flexibility to discuss rework with the factory on the spot and re-check the same week. In short — a resident quality manager embedded in your supply chain, at a fraction of a full-time hire.

What clients say

Representative outcomes from sourcing, hardware, and QC engagements.

We skipped a PSI once because the sample was perfect — and got 10,000 tumblers in the wrong steel grade. Never again. Now every order gets an on-site AQL check before the balance is paid.

Frequently asked questions

What is AQL and how do I choose a level?
AQL (Acceptable Quality Limit) is the maximum allowed defect percentage in a sample. For general consumer goods use Level II, 0 critical / 2.5 major / 4.0 minor. For safety-related items (medical, automotive) tighten to 0 / 0.65 / 1.5. For promotional giveaways relax to 0 / 4.0 / 6.5. Always define these before the inspection.
When should I use DUPRO instead of just a final inspection?
Use DUPRO (during-production) when your order is roughly 3,000+ units, the product is new or complex, or the supplier has a mixed track record. It catches assembly errors while 60–70% of stock is still to be made. A final PSI alone can only check finished goods — it cannot undo defects already built into the whole batch.
How much does a pre-shipment inspection cost in 2026?
A one-day PSI for a single product in the Pearl River Delta runs $300–$450 with a local specialist, or $480–$650 with a global brand. Complex items needing more tests or 1.5 days scale up, and travel surcharges apply for remote factories.
Can remote video inspection replace an on-site inspector?
Not for high-stakes orders. Remote video verifies obvious visual defects, labels and packaging, but cannot detect smell, subtle texture, covert material swaps, or staged samples hidden off-camera. Use it for low-value follow-ups or a double-check on a trusted supplier; for any first production run, insist on a physical inspection.
How fast will I get the report?
With a local China-based partner, a detailed PDF report with photos, a defect tally and a pass/fail conclusion typically arrives within 12–24 hours — often with a WeChat/WhatsApp flash report of the key findings the same day. Global firms usually take 48 hours.
How do I handle a failed PSI?
First judge whether it is marginal (e.g. 10 majors against an accept of 10) or gross. Options: reject the shipment, demand 100% factory sorting and a re-inspection at their cost, negotiate a discount reflecting the defect rate, or accept with a corrective-action plan. A China-based inspector can supervise rework on the spot and re-check the same week.
